Privacy Policy

The short version
- Check-ins are private by default. Private entries are encrypted before they are stored and are never shown to managers or leaders.
- Managers see only what an employee chooses to share, plus team-level totals and topic percentages. They never see the text of private entries.
- Your employer controls its workplace data. We process it on their behalf and do not sell it, rent it, or use it for advertising.
- We do not send the text of check-ins or survey answers to any AI service.
- When an organization cancels, we delete its check-ins and survey data within 30 days.
1. Who we are
SafeVoice Daily is a workplace check-in and survey service operated by Andre's Labs, LLC, an Idaho limited liability company ("Andre's Labs," "we," "us"). This policy covers our marketing website at safevoicedaily.com and the SafeVoice Daily application at app.safevoicedaily.com (together, the "Service").
2. Your employer's role and ours
Organizations such as employers, schools, agencies, and nonprofits ("Customers") sign up for SafeVoice Daily and invite their people ("Users") to use it. For information that Users put into the Service at work, the Customer decides why the Service is used, and we process that information on the Customer's behalf under our agreement with them. If you are a User, your organization's own policies also apply, and some requests (such as deleting your account) may need to go through your organization.
For information we collect on our own behalf, such as messages sent through our website's contact form, Andre's Labs is responsible for that information under this policy.
3. Information we collect
Information you or your organization provide
- Account information: name, work email address, role (employee, manager, director, or CEO/administrator), organization, and who you report to. Sign-in is handled by our authentication provider, Clerk.
- Daily check-ins: the prompt you were shown, your response, and whether you kept it private or shared it with your manager.
- Survey responses: your answers to surveys your organization sends.
- Follow-up records: when a manager records a 1:1 follow-up on a shared check-in, we store that the follow-up happened and when.
- Surveys you create: titles, questions, audience, and deadlines.
- Contact and sales requests: name, email, company, team size, and your message when you use our website forms.
Information created when you use the Service
- Topic labels: when you submit a check-in, the Service assigns a one-word topic label (for example, "workload" or "recognition") based on keywords in the response. The label is stored with the entry.
- Activity data: dates and times of check-ins, survey submissions, and follow-ups, used to calculate participation and follow-through rates.
- Technical data: standard server and security logs kept by our hosting providers, such as IP address, browser type, and request times.
4. Who can see what
This is the part people ask about most, so here it is plainly.

Topic percentages are calculated from the labels on all of a team's check-ins, including private ones. The text of a private entry is never shown. In a very small team, a topic percentage could still hint at what one person wrote, so we recommend organizations use SafeVoice Daily with teams of five or more.
Survey responses are stored linked to your account so the Service can track who has responded. Your name is never shown next to your answers in survey results.
5. How we use information
- To provide the Service: show prompts, save entries, deliver shared entries to managers, run surveys, and display dashboards and action plans.
- To calculate team and organization totals, trends, and recommended actions.
- To secure the Service, prevent misuse, and troubleshoot problems.
- To respond to support, sales, and contact requests.
- To improve the Service using aggregate statistics. Our internal analytics never include entry text or information about individual employees, and organizations with fewer than five active users are grouped together rather than shown individually.
We do not sell or rent personal information, we do not use it for advertising, and we do not use the content of check-ins or survey answers to train AI models.
6. AI features
SafeVoice Daily uses Anthropic's Claude models for two features:
- Leadership nudges: we send counts and percentages about a team (for example, team size, participation rate, and topic counts from shared entries). We do not send names or entry text.
- Survey question suggestions: we send the topic a survey creator types in (for example, "workload").
Under Anthropic's commercial terms, information sent through its API is not used to train its models.
7. Service providers
We use these companies to run the Service. They may process information only to provide their services to us.

We may also disclose information if required by law, to protect the rights and safety of our users or the public, or as part of a merger, acquisition, or sale of assets, in which case this policy will continue to apply to the information transferred.
8. How we protect information
- All connections to the Service use encryption in transit (HTTPS/TLS).
- Private check-in text is encrypted with industry-standard encryption before it is stored in the database.
- Requests that read check-ins, surveys, or dashboards require a signed sign-in token, and the Service only returns data that the user's role allows.
- Access to the encryption key and production systems is limited to the Service's system administrator. We do not use this access to read private entries, and would only access data to the extent required by law or to fix a problem you or your organization asks us to fix.
No system is perfectly secure. If we learn of a security incident that affects personal information, we will notify affected Customers and, where required, individuals and regulators, as required by applicable law.
9. How long we keep information
- While an organization is active: we keep check-ins, surveys, and account information so the Service works and trends can be shown over time.
- When an organization cancels: it can request an export of its data. We delete its check-ins, survey data, and user accounts within 30 days of cancellation. Copies in backups are removed as those backups expire, within 90 days.
- When a user is removed: the account is deactivated so the organization's historical totals stay accurate. The organization can ask us to delete a former user's data.
- Contact and sales requests: kept for up to two years, or until you ask us to delete them.
10. Your choices and rights
- Keep it private: every check-in is private unless you choose to share it.
- Access, correction, and deletion: you can ask to see, correct, or delete your information. If your account was created by your organization, we may need to work with them to complete the request.
- State privacy rights: depending on where you live, you may have additional rights, such as the right to know what we collect, to request deletion, or to appeal a decision about your request. We will not treat you differently for exercising these rights.
To make a request, email hello@safevoicedaily.com with "Privacy request" in the subject line. We will respond within 30 days, or sooner if the law requires.
11. Cookies
The application uses cookies and similar storage that are needed to keep you signed in. Our marketing website does not use advertising or analytics cookies. It loads fonts, icons, and images from Google Fonts, jsDelivr, and Unsplash, which receive your IP address when those files load.
12. Children and student data
SafeVoice Daily is for adults in the workplace. It is not intended for anyone under 18, and we do not knowingly collect information from children. When schools use SafeVoice Daily, it is for staff only. We do not collect student records or student information, and staff should not include student names or identifying details in check-ins.
13. Health and sensitive information
SafeVoice Daily is not a medical, counseling, or crisis service. Do not enter patient information, health records, or other information about clients or patients. If you include personal health or other sensitive details about yourself in a private check-in, it is encrypted like any other private entry, but we encourage you to share only what you are comfortable with.
14. Changes to this policy
We may update this policy as the Service changes. We will change the date at the top, and for material changes we will notify Customers by email or in the application before the change takes effect.
